Please find below a sample agenda for a retrospective, as well as my thinking process while creating it.

As per a previous post — On planning a retrospective –, I have sent a few questions to the person who invited me to facilitate the retrospective.

Below are the questions and answers, which guided me towards deciding this specific retrospective agenda. Below each answer, I share some of my thoughts, which influences my selection on the activities and the retro agenda.

Question (Q): Is everyone on the same place or we need an online retrospective board?
Answer (A): 7 people in the office and team lead WFH remotely. Client will not be present today so it will be more relaxed retro focusing on the team and processes improvements.
My Thoughts (me): ok, I need an online board. I will ask everyone to bring their laptops and share the agenda links 5 minutes before the retro.

Q: How many people will participate on the retrospective?
A: 8
Me: small team, easier to facilitate, I can spend more time on the main course.

Q: When was your last retrospective?
A: 2 weeks ago
Me: perfect, tema is used to retrospectives… it’s definitely a retrospective, no need to think about team building or futurospective activities. No need to spend time remembering old stuff.

Q: What is the context for this retrospective? (Is it a Sprint retrospective? Something really bad or great just happened and you want to focus on it? Is this s new team and we should think about team building activities?
A: Team is together for 8 months already however new person has joined yesterday. We do retrospective every two weeks. Client will not be present today. Nothing major has happened, it is our usual retro to rather look for improvements than finding a solution to problems.
Me: new person, let me think about a good energizer… perhaps something where people share a little about themselves… this will help the new person to integrate and know more about the teammates. Client not present… I have to be careful not to look for improvements on the client side… I’ll focus on the team work.

Q: Anything major is about to happen and we should prepare for it?
A: We need to get client to make important decisions in upcoming two weeks as we are blocked on few epics in our roadmap.
Me: product features… this should be one of this retrospective themes… this might cover the epic concern… roadmap… not sure if I make a retro with some timeline on it… don’t think it’s necessary… it feels to me this roadmap thing is  not a big issue as the team works together for 8 months and has retrospective every other week. Anyway, if it’s an issue, the team will bring it up.

Q: Which areas or themes do you want to focus on? (e.g. people and interactions / process / product features; within team boundaries / outside the team boundaries; weekdays working hours / weekdays non-working hours / weekend)
A: process, product features
Me: nice, this validates my thinking… themes: process, product features and people interactions

Q: Which sentence best describe what you want? (A) I want to people to decide upon and sign up for action items, or (B) I want people tho feel heart, to share their feelings and to be recognised fro the good things.
A: Definitely B
Me: nice! My kind of retro: focus on people and feelings. The action itens will come naturally… I need to think about a good check out to bring a nice closing.

Building the specific agenda

I start by writing the 7 step retrospective template:

  1. Context
  2. Energizer
  3. Prime directive
  4. Checkin
  5. Main course
  6. Filtering
  7. Checkout

 

Then I go filling each step. In fact, as this is a remote retrospective, I’ll share the agenda with the online retrospectives boards links with everyone.

Please find below my thoughts while I was preparing each of the seven retrospective steps.

Let me look at the FunRetrospectives / Energizer category  for some ideas…

The Guess my favorite song activity  looks good ; specially for the new team member,

I’ll create an online board… and I’ll send this note 10 minus before the retrospective; on the email subject “what is your favorite song – retrospective”

This will catch their attention and might be a good energizer. Besides, it will test everyones connectivity.

3. Prime directive

Let me copy/paste the prime directive from the FunRetrospectives site.

During the retro, I’ll ask someone to read it.

4. Checkin

I’ll use the happiness radar with these 3 themes: process, product features and people interactions

5. Main course

I’ll use the small starfish:  for the 3 themes, following up from the checkin activity.

I’ll say something like this: “so now please share more about the things that made you feel this way. Please add your notes to the small starfish areas: more of, keep doing, less of

6. Filtering

Dot voting. Each participant has 5 votes
Then have a conversation about the most vote itens.
If needed, write down any action itens on the card itself.

7. Checkout

I’ll ask people to go back to the most favorite song board… I’ll say something like: “each one has two votes to select the best song. We will play the one with most votes as we leave the room. Thank you!”
